Documents, history and trash
How do I create a document, and where does it go?
In the sidebar press + and choose Document: you can rename it any time. The Where? question suggests Private first (only you see it), then your teams, the spaces and the Home. Once created, the sidebar shows it in its place.
How do I change a page’s icon?
Tap the icon next to the title. If the page has none yet, open the “…” next to its name in the sidebar and choose Icon. The panel has two tabs, Emoji and Icons, and a field to search by word. Random picks one for you, Remove takes off the one you have. It works for documents, tables and folders you can edit.
How do I add a block, or point to another page?
Type / for blocks, for example Diagram or Inline table, which shows the rows of a table inside the text. Type [[ or @ to point to another page: at the bottom of the list there is “Create” with the name you typed, and a new page is born inside this one.
Can several of us write at the same time?
Yes: documents are shared live, and everyone with access writes in the same document. Who sees it is decided by where it lives, plus the access you give, even for a limited time: in the sharing window choose For how long.
How do I go back to how it was yesterday?
Open the history, scroll the slider to the right moment and press Restore here. The text of that moment returns to the document as an ordinary edit: others see it, it can be undone, and the history stays. If the page as it was had parts the editor does not know, Restore here is not offered.
Why does a document say it has parts that cannot be seen here yet?
Because it contains blocks the editor does not know: opening it for editing would delete them for everyone, so it does not open. The title and the pages inside stay, and it will open when Fallthere can show those parts.
What happens if I remove a document?
Move to the trash takes it out of view; Trash collects what you removed, and from there you bring it back. An outside assistant never deletes anything. History and trash has the rest.
Tables and views
How do I create a table?
Press + and, under Organize, choose how you want to look at it: Grid, Board, List, Calendar, Gallery, Timeline, Chart, Form or Workload. The data is always the same: only the view you start with changes.
How do I add a column, and who can?
Whoever manages the table presses the “+” after the last column (Add a column), writes the name and chooses what goes in: Text, Number, Date, A choice, Status, People, Yes or no, and behind More… Relation, Formula, File, Button and others. Everyone else writes the rows, and the database decides.
How do I look at the same data another way?
The tabs under the title are the views, and the “+” next to the tabs (Add a view) adds another one of the same table. Each has its own filter and sort: Filter and Sort say in words what you see, for example “3 of 6 · Only: Status is To do”, and they do not change the data.
How do I make a row template?
Next to + New row open the “▾” (From a template) and choose New template…: a row is set aside, and it opens to be filled with text, fields and lists. Then every new row can start from it, and Edit reopens the template. There are no templates in People or in linked tables.
What does the padlock on a column mean?
The column is reserved: only people with the “read reserved fields” capability read and write its values. Everyone else sees the column with the padlock and the word “Reserved”, and the value reaches them neither in the table nor in searches nor in the history. Whoever manages the table sets it with Make reserved; Pan never writes in a reserved field.
What does “The rows come from…” mean?
It is a linked table: it shows the rows of another table in the space, and what you change here changes there too. The columns belong to the source table and are changed there, where a button takes you. You make one from the “+”, under Link, with Existing table.
Tasks, wiki and whiteboard
Where do I see all my tasks?
Tap Tasks in the row of icons at the top of the sidebar: the number says how many are waiting for you. The page shows Concern you, or Only mine or All, from the levels you turned on, split by space. They are rows of the tables where you wrote them, not a separate table. Board, Calendar, Grid and Workload are in Other views.
How does a task come from a message or a mail?
Choose What needs doing? on a message or a mail: Pan reads it and proposes the to-dos, you choose which, and they are born in a table, linked to where they came from. It needs Pan on, and nothing is created without your tap.
Are there subtasks, repeating tasks, bulk actions?
Not yet: they are coming, with no dates. Meanwhile every task has who does it and by when, and Only mine shows the ones assigned to you.
How do I create a wiki?
Press + and, under Write, choose Wiki: a folder called “New wiki” is born, with the Wiki view in front. The pages are documents inside the folder; with [[ one points to another, and the Graph shows how they connect.
What happens when a wiki page expires?
It rises to the top of the Wiki view, before the others. Whoever looks after it rereads it: if it is still right they press It is still right and the page goes back to verified.
How do I use the whiteboard?
Press + and, under Write, choose Whiteboard. Add a note, write with a double tap and drag it where you want; Remove takes it away. Notes are jottings of at most 500 characters, which two people move together, live; the pages the whiteboard contains show on the canvas as cards.
Forms, imports, files and signatures
How do I create a form and send it?
In Forms press New form, choose Where? and start from the sample form or a template: Contact, Sign-up or Request. Write the questions as in a document, then from the form’s card press Copy the link and send it. With Try it, under More, you see the form as whoever answers sees it.
Does whoever answers need an account, and where do the answers go?
No: the link opens a public page, you fill it in and send it. Each answer is a row of a table in the space, which you open with See the answers. To stop receiving them there is Close the link, and Set a password protects it.
How do I bring my pages from Notion, Google Drive or OneDrive?
Export from where you are (from Notion “Markdown and CSV”, from Drive or OneDrive the folder as a .zip), then press + and, under Upload, choose Import. A folder is born that says where it comes from, for example “From Notion”, with searchable text already. The limits: at most 2,000 things per import, 200,000 characters in a document, 5,000 rows and 40 columns in a table.
Which files open without leaving, and how big can they be?
PDF, Word, Excel, PowerPoint, Markdown, images, video, audio and text open in the file’s tab. Old formats (.doc, .xls, .ppt) do not: the page says to download them, or to save them as .docx, .xlsx or .pptx. A file can weigh at most 25 MB.
How do I sign a PDF?
Open the file and choose Sign for the simple signature, or Digital signature (where it is on) for the one with your provider’s certificate. You draw or write the signature and place it where needed: the signed copy appears next to the original, with who signed and when. The simple signature is an electronic signature, not a digital signature with a certificate.
Can I import from other work tools?
Not yet: importing from other work tools is coming, with no dates. Meanwhile Word, Excel and Markdown files come in with Import, as Import explains.
