Messages, mail and calendar, one question at a time.

Channels, direct messages, mailboxes, events, bookings, calls. The answers are short and use the button names as you find them.

Messages

How do I create a channel?

At the top of the messages column press New, then New channel. Choose Where (the whole organization, a space or a team), the name (lowercase letters, numbers and hyphens) and How it is built: A single thread or In conversations, each topic with its own title. Then Who can see it? and, if only the people who manage it should write, Announcements only.

What do “By request” and “Hidden” mean?

In a By request conversation everyone sees the name, no one the messages or who is in it: to join press Ask to join, and the request reaches whoever manages it in Now. If they say no, you can try again in a few days. A Hidden one is seen only by whoever is in it: administrators know it exists, but do not read it.

How do I write to one person or a group?

Press New and choose Write to someone: you pick the person and write. With More people you choose at least two, at most twenty including yourself, and whoever opened the group names it. Direct messages sit in the column under Direct.

How do I schedule a message?

Write the text and press the clock, Send it later: choose In an hour, Tomorrow morning, Monday morning, or The day and time and Schedule, at most a year ahead. The message goes out as you, even if you do not have Fallthere open, and Don’t send it cancels it. If in the meantime you can no longer write in that channel, it does not go out and says so.

How do I call Pan or one of my agents in a channel?

Type @ and pick Pan, or one of your agents, then the question. In place of send, Privately and For everyone appear: the first answers in Pan’s column and only you see it, the second answers in the channel with “asked by…”. Pan reads messages only when you call it with the at sign.

How do I turn a message into a to-do, or a page?

From the message’s menu: What needs doing? sends it to Pan, who proposes the to-dos, and you choose which: they stay linked to the message. Send to a space creates a document linked to the message, and Link to a page… links it to a page that already exists.

Mail

How do I connect my mailbox?

Press Connect a mailbox… and choose where your mail lives: Gmail, Outlook or Microsoft 365, iCloud, another. The guide gives you the right steps: Google’s or Microsoft’s yes, an app password (iCloud, and Gmail where Google’s yes is not available), or address and password. Fallthere finds where the mail lives by itself, and the password stays locked away.

Who sees my mail?

Only you. Link to a page… gives the page the link to the mail and a summary, but the text of the mail stays visible only to you: linking is not sharing.

How do I sort mail with a rule?

After Link to a page… the window offers “The others from @acme.com too”: the rule links the earlier mails (the last 200) at once and then the ones that arrive. If you lead a team you can give it to the team too with For the whole team: for the others it applies with their yes in Now. My rules, in Settings, lists and removes them.

How do I write a mail?

Press Write, or Reply, Reply all or Forward on a mail. The text is written without formatting, attachments weigh at most 18 MB in all and the signature carries the organization’s brand; the mail goes out from your mailbox, under your name. If it does not go out, you find it in Outbox, with Retry sending it or Discard.

Does Pan watch my mail on its own?

Only if you turn it on: it is off by default. With Where do my mails go? Pan proposes in Now which pages to link your mails to, and at the end it offers Watch new mail on its own…: it looks at the incoming mail that no rule has placed, with your key and your cap. It links nothing without your yes, unless you turn on Link the almost sure ones on its own…: then it does and tells you in Now, where it can be undone.

What can Pan do with a mail?

With Pan on, Translate shows the mail in your language next to the original, What needs doing? proposes the to-dos and Write with Pan prepares a draft under the text, which goes out only when you send it. If a mail has a clear day and time, Pan asks in Now whether to put it in the Calendar, and with the yes the event is born, linked to the mail. Recipients’ addresses never go to Pan.

How do I put whoever wrote to me among the people?

Open the mail and choose Add to people…: write the name and whoever wrote to you joins the People, with the company that comes from the address’s domain. If there is already a person with a similar name, you can say it is another email of theirs. It does not apply to you, or to an address that does not reply.

Calendar and Get booked

How do I add an event?

Click (or tap) a day: New event opens with the name, the day and the hours. Save (or Enter) puts it in the day, More options creates it and opens its page, where When, Where, People, the notes and the attachments live. Esc or a click outside closes without creating.

How do I invite someone to an event?

Write the person, or a team, among the event’s People: the invitation reaches them in Now, they answer with a tap and you see who is coming. If the event moves or is cancelled, they know. An event with people also has its own call: from ten minutes before, the first item is Join the call.

How do I move or stretch an event, and change view?

In Week and Day you drag one of your events to another hour or another day, in quarter-hour steps, and pull the bottom edge to stretch it; Esc puts everything back. Day, Week and Month are the three views, and the one you choose stays. In the same month you also see your tasks with a due date and the events of outside calendars.

How do I add my Google, Outlook or iCloud calendar?

Press Add an outside calendar…: the Connect your calendar guide opens, with the steps from Google’s, Outlook’s or iCloud’s official pages. Their events sit among yours and only you see them, but they are read-only: the two-way calendar is coming, with no dates. Read now rereads them and Remove removes the calendar.

How do I get booked?

Open Get booked from the Calendar: the page is a document, with the blocks Duration, When you are free and Confirmation, plus the questions you add from the “/”. When it is right, Copy the link appears, which you send to whoever you want: whoever books does not need an account. You confirm or decline the requests, with Confirm or Decline.

Does whoever books need an account, and which time do they see?

No: the page is public. Whoever books picks a day among those with free slots, then the time in their own time zone, and writes name, email and, if they want, what to talk about. If the page confirms on its own they see “Booked”, otherwise “Request sent” and you confirm; the booked meeting enters your calendar.

Calls and phone

How do I start a call?

Call in the space opens a conversation’s room, in a tab of its own: one call at a time, and closing the tab means leaving. An event with people has its own call, and an incoming call rings as a notification.

How do I let a guest in, and what do they see?

In Who’s here press Copy a link to join and send it: it leads to a public page, lasts twelve hours and can be cancelled from there. The guest writes their name and presses Join; if the room has a waiting room, they wait until someone lets them in with Let in. They see only the room: no conversations, no spaces, no whiteboards, no Pan.

How do I get the minutes?

They are written from what was said, that is the Subtitles (the browser’s voice recognition, off until you turn it on), and from the notes taken in the room: after the call press Open the minutes. The summary with decisions and to-dos is written by Pan with the key and the cap of whoever ends the call, and with no key or with the cap used up the minutes stay without a summary. If nobody had the subtitles on and nobody took notes, they are empty, and say so.

How do I share a single Fallthere tab?

In the room, next to Share the screen, there is the option to share a single Fallthere tab: you pick among the open pages, and whoever watches sees only that tab, not the window or the notices that pop up on top. It works with Chrome and Edge from version 132; elsewhere the button says why not and offers the screen.

What can I do from the phone with messages, mail, calendar and calls?

For each app the phone widget has one thing to see and one to do: Read for messages, Read for mail, I’ll be there for the calendar, Can’t for a ringing call. To answer a call or join one you need the computer. Mail notifications on the phone are coming, with no dates.
