Invite the team.

An invitation says what whoever comes in will be able to do, never “manages”. Then you decide who sees what, page by page, even for a limited time.

The steps

From Settings, or from a space.

  1. Invite by email.

    In Settings, People, Invite by email…. Or, on a space, Invite to this space….

  2. Choose what they will be able to do.

    Of the four default roles: Reads, Comments, Edits, Manages. An invitation never gives “manages”: the database rules forbid it too.

  3. Wait for the yes.

    The mail is sent by Fallthere, with a single sender. Whoever is invited finds it on entering, even without an organization and without an account: the account is born with the invitation, with no password, and you sign in with a link by email.

  4. Check what they would see.

    Before sharing you can ask What would they see…?: it says what they can and cannot do, for example “Can read and export; cannot edit”.

  5. Give a timed access.

    In the sharing window, For how long: forever, a week, a month. On the date the access ends on its own.

  6. Write the roles you need.

    In Roles you create a role with the capabilities you choose, for example an “External reviewer” who can read, comment and export. The description is mandatory.

Things to know

  • Nine capabilities, and a chain.

    Read, comment, edit, create inside, move to the trash, share, export, use Pan, read reserved fields. Ticking “share” also ticks the ones it needs.

  • Teams have their own space.

    In Teams you put people in teams and teams in spaces. The team’s space is born with the team: joining the team means joining the space.

  • Newcomers have the welcome.

    If you wrote one, whoever comes in finds its steps to take, one at a time.

Frequently asked questions

Does a guest need an account?

To enter the space yes, but the invitation creates it. To fill in a form or book a meeting no: those are public pages.

Can I remove an access?

Yes, whenever you want. A timed access ends on its own on the chosen date.

Who can invite?

Whoever has the permission to manage people, or to share that space.
