Who can do what, page by page.
Every page has its own access. Four default roles, roles you write, and a simulation that says what a person would see before you share.
An access that ends on its own.
In the sharing window, For how long: forever, a week, a month. Next to the name the date the access ends appears, and on that date it ends.

A page cannot grant anything. If you cannot, it says “Not here” and why. And when you move something to a wider place, it says who will see it.

In detail
Four default roles.
Reads, Comments, Edits, Manages. Each is a set of capabilities, and the ones that are not a step can be changed.
Roles you write.
A role with the capabilities you choose and a mandatory description, for example “External reviewer”: read, comment, export. The name up to 60 characters, the description 300.
Nine capabilities.
Read, comment, edit, create inside, move to the trash, share, export, use Pan, read reserved fields. Ticking one ticks the others it needs.
What would they see…?
Before sharing, the simulation says what they can and cannot do: “Can read and export; cannot edit”.
How to use it
Five moves, from the role to the access.
Open Roles.
In Settings, Administration, Roles: the four default ones and the ones you wrote.
Write a role.
Name, description and the capabilities. The chain completes itself: ticking “share” also ticks “edit”, “comment” and “read”.
Give a page access.
In the sharing window choose the person, the role and For how long.
Check first.
What would they see…? answers in words, before you confirm.
See what happened.
Every grant and every action of an assistant or a job stays written in the log, without the content.

Frequently asked questions
Can an invitation give “manages”?
No: never, not even by mistake. The database rules forbid it.
Who can change roles?
Whoever administers the organization. The database rules check that a role is always one that stands.
Does a reserved field show to whoever can read the table?
No: the “read reserved fields” capability is needed. Without it the column shows with the padlock, but the values do not arrive.
Is there two-step verification at sign-in?
Yes. An app gives a six-digit code and, if you turn it on from the Profile, signing in needs that code too. Whoever leads the organization can ask everyone to use it. Security and data tells how you sign in.
